A Workflow Rule consists of three key parts:
The Rule:
The Rule defines the criteria for when the workflow should trigger. Your criteria can include one or multiple filters. Each filter is made up of an Operator (e.g., Equal to, Less Than, Greater Than) and a Value. You can use multiple values for each filter.- The value field depends on the field type selected for the filter.
- The value field can hold up to 75 characters.
- For blank values, leave the value field empty (no need to enter "Null").
- For Date fields, use alternatives like Today, Tomorrow, or Yesterday as values, or enter a date in the format DD/MM/YYYY or MM/DD/YYYY, depending on your organization's settings.
- When entering multiple values, separate them with commas (e.g., Proposal Submitted, Reviewing Terms, Closed/Won).
The Evaluation Criteria:
This defines when the workflow action will execute, based on the conditions you've set.Workflow Actions:
These are the events that occur once the criteria are met (e.g., Email Alert, Field Update, Create New Record, Create Task, or Copy and Paste). A single workflow rule can have up to 5 workflow actions.
NOTE: The rules run every 30 minutes, at the top and bottom of each hour (e.g., 12:00, 12:30, 1:00, 1:30), 24 hours a day.
